Personal Data Processing Policy

VIRTUAL ZOOM s.r.o., with its registered office at: Sokolovská 131/86, 186 00 Prague 8, Czech Republic, registered in the Commercial Register kept by the Municipal Court in Prague, Section C, File 91008 (“VZ”), operator of the website www.virtualzoom.com, declares that all personal data is considered strictly confidential and is handled in accordance with the applicable legal provisions on the protection of personal data.

The security of your personal data is a priority for us. We therefore pay due attention to personal data and their protection. In these Personal Data Processing Policy (“Principles”), we would like to inform you about what personal data we collect about you and how we further use it when you visit our website.

1. General information about visiting our homepage

1.1 Webtracking

• (a) In order to improve the quality of our services to our customers and ensure the full functionality of our websites, certain data and other information are collected and recorded (other information does not constitute personal data). This data and other information is used to evaluate the activities of users on the website for the purpose of performing statistics. All personal data is processed in an anonymized form.
• For technical processing of data for statistical purposes, VZ uses the services of the housing provider ("Provider").
• (b) When visiting our website, we collect, compile and evaluate the necessary data via pixels installed on our website ("tools").
• The tools ensure the connection of our website with your web browser, which sends the following information about the use of our website:
• Request (this is the name of the file for the client's expressed request), e.g. www.vzorek.cz/index.html;
• Browser type / browser version (e.g. Internet Explorer, Chrome, Firefox);
• Browser language (e.g. Czech);
• Operating system used (e.g. Windows XP, Windows 10, iOS);
• Internal resolution of the browser window;
• Screen resolution;
• JavaScript activation;
• Java on/off;
• Cookies yes/no;
• Color depth;
• Referrer URL (designation of the URL from which the website was visited);
• IP address of the user, for which we provide prompt anonymization.
• Time data relating to the date and time when the website was accessed;
• Number of clicks;
• Furthermore, information obtained from the content of completed/uncompleted forms may also be collected (text fields that need to be filled in, such as login name and password. In these cases, information is collected about whether the form was “completed” or “uncompleted”).

1.2 Use of conversion tracking

(a) Conversion cookies on the website http://www.virtualzoom.cz/ track the steps taken after clicking on an advertisement on a third-party website or based on a link to a VZ placed on a third-party website. The purpose of this tracking is to maximize the customization of VZ advertisements to our customers. Links are also linked, evaluated and used for billing purposes. Conversion cookies do not contain personal data and therefore cannot be used to personally identify the customer. The provider of the third-party website only receives information about the total number of users who clicked on the advertisement or purchased its product.

(b) More information on the issue of cookies can be found in section 1.6.

1.3 IP address (Internet Protocol address)

(a) The IP address is transmitted to the web server with each request sent so that it knows where to send the response. Each customer receives a dynamic IP address from their Internet service provider (“ISP”) at the time of their connection to the Internet. For this reason, the ISP can determine the specific customer to whom the IP address has been assigned.

(b) By storing the IP address on our server, it is possible for us to determine the identity of the user connected to the Internet through additional information obtained from the ISP. For this reason, VZ and the Provider do not permanently store the IP address, which would allow us to identify a specific user. The IP address is used only to recognize individual logins to our website and also as a means of defense against computer attacks. The IP address is then anonymized by replacing the last eight digits with an “x”. Based on the anonymization of the IP address, it is not possible for us to determine a specific natural person.

1.5 Log files

(a) Every time you visit the VZ website, your web browser sends information about your user data, which is stored in protocol files, so-called server log files. The data transmissions that are stored in this way include the following information: date and time of the website visit, URL of the visited website, IP address, original URL (so-called referrer) from which you came to our website, amount of data transferred and user agent information sent by your web browser (if applicable, browser type and version and operating system used).

(b) IP addresses are stored exclusively anonymously for evaluation purposes. The evaluation of these log data files serves to make it easier for us to find errors and to be able to eliminate them as quickly as possible. In addition, this allows us to manage server capacity and further improve our offer.

1.6 Cookies

(a) We use cookies on our website. Cookies are small text files containing short data that can be stored on your computer when you visit our website. Cookies can only contain information that we send to your computer, and therefore your personal data is not retrieved. At the same time, the use of cookies does not create a connection with other data unless you expressly consent to this.

(b) Consent to the use of cookies is not a prerequisite for visiting our website. However, we would like to point out that using the shopping cart function and ordering our products is only possible if you allow cookies.

(c) Cookies can be stored on your computer for different lengths of time. Some cookies are limited by the duration of the session (so-called "session cookies"). This means that they only exist as long as the web browser is running and are automatically deleted after it is closed.

Other cookies are permanent (so-called "persistent cookies"). These cookies remain in the web browser even after its termination until a specified date, or until they are manually deleted by the user. These cookies can be used to identify the user's computer when the web browser is restarted and the Internet is browsed. In no case do cookies affect the technical use of your computer and do not contain viruses.

(d) We use the following cookies on our website:

• cookies required for the operation of the website, which are necessary to ensure the full functionality of our website and also serve to ensure the functionality of our E-shop, so-called technical cookies (cookie duration: 30 days) [VZ];
• cookies that are not strictly necessary for the operation of the website, however, their use improves the user experience and makes browsing the website easier. These cookies are used to improve the quality of our product offering (e.g. load reduction, login functionality, duration: one website visit, shopping cart functionality, cookie duration: 30 days) [VZ];
• last click (to close the web browser, duration: single visit to the website) [Administrator];
• session cookie (to recognize a visit to the website, duration: single visit to the website) [Administrator]
• ever cookie (to distinguish between an existing and a new customer, duration: maximum 60 months) [Administrator];

The administrator responsible for the use of the relevant cookies is listed in square brackets above.

(e) The storage of cookies can generally be disabled in the web browser settings (it is also possible to disable the possible use of third-party cookies). However, if the user does so, some functions of the website may be unavailable or the rejection of cookies may have a negative impact on the user experience.

2. Personal data and their processing

2.1 Personal data and the purpose of processing personal data

(a) Personal data is all information about an identified and identifiable person.

An identifiable natural person is a natural person who can be identified, directly or indirectly, in particular by reference to an identifier (such as a name, identification number, location data, network identifier) ​​or to one or more specific elements of the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.

(b) VZ processes the following categories of personal data that it needs in connection with the completion of the order: name and surname, delivery address, payment details and e-mail address. If you have also created a customer account, other data that you voluntarily provide during registration or enter in your customer account environment may also be processed at the same time.

(c) Your e-mail address serves as your identifier (in the case of creating a customer account, it represents the customer login name) and is also used for all communication.

You will receive an order confirmation and shipping information to your e-mail address, as well as a notification that your shipment is ready for collection at the branch of your choice.

(d) If you purchase without registration, i.e. without creating a customer account, personal data is processed for the purpose of completing the order and processing it (order fulfillment). If you provide us with personal data in connection with creating your customer account, we will use it in particular for the administration of the customer account as stated in point 2.3 (a).

(e) Personal data may also be used for marketing purposes (for more details, see point 2.4).

(f) When you visit our website, other information is also collected that is collected for statistical purposes. Based on this information, it is not possible to determine the identity of a specific user without linking it to other information.

(g) Your personal data will only be passed on to third parties or otherwise mediated if this is necessary for the performance of the contract or if you have given your prior consent. As part of processing your order, entities selected by us, such as logistics companies, carriers, banks, etc., will receive the data necessary to process your order. Our service providers may use the data obtained in this way only to fulfill tasks related to processing your order.

2.2 Form data

On the VZ website, you can use some forms as part of your activities, through which you send us your data. If it does not concern personal data, the data in the form fields will be stored and statistically evaluated. In the event that personal data is involved, this data will only be evaluated for statistical purposes if the form data is successfully submitted. At the same time, operations that were canceled in connection with filling out the form will be evaluated for statistical purposes.

2.3 VZ customer account and purchase without registration

(a) By registering, you can set up a customer account that is protected by a password ("customer account"). By setting up a customer account, you gain direct access to your data; you can thus view both your data on completed and unfinished orders. You can also manage your personal data and newsletter sending via the customer account.

(b) If you do not wish to set up a customer account to make a purchase, you can also shop in our E-shop without registration, i.e. as a guest. In this case, only the personal data that is necessary in connection with the completion of your order is processed.

2.4 Newsletter to e-mail (commercial communication)

(a) If you have not refused to receive commercial communication, we will send you newsletters by e-mail.

(b) If you do not wish to receive any more newsletters in the future, you can unsubscribe at any time free of charge. To unsubscribe from the newsletter, you can contact our customer service directly. You can also unsubscribe via the unsubscribe link in each newsletter.

(c) If you unsubscribe from the newsletter, we will no longer use your electronic contacts for these purposes.

2.5 Targeted advertising

(a) Our goal is to continuously improve our services so that we can create websites for our customers that are easy to use and that allow them to see advertising that is directly relevant to their interests. Therefore, in order to effectively tailor advertising to your interests (e.g. when sending newsletters), we use the information you provide and also automatically generated information. This information includes, for example, information about clicks, which products you have viewed on our website, information about your computer and internet connection, data obtained from the operating system and platform, data about the date and time of your visit to our website, and which newsletters you have opened.

(b) We generally handle all information we obtain about you in connection with targeted advertising in pseudonymised form in order to limit the risks associated with the processing of your personal data.

(c) If you do not wish to receive targeted advertising, you can refuse it at any time. To withdraw your consent to our targeted advertising, you can contact our customer service line listed at the footer of this Policy.

3. Personal data security and retention

3.1 Security of personal data

(a) Your personal data is transmitted to us in encrypted form. We use the SSL (Secure Socket Layer) encryption system. We secure our website and other systems through technical and organizational measures against loss and destruction of your data, as well as against access by unauthorized persons.

(b) Access to your customer account is only possible after entering your personal password. In this context, we would like to point out the necessity of always keeping your access data confidential and closing the browser window once you have finished communicating with us, especially if you share your computer with others.

3.2 Data retention period

(a) We process and store personal data for the period strictly necessary to ensure all rights and obligations arising from the contract, i.e. at least for the period of ensuring the implementation of your order, and further for the period for which VZ is obliged to store it as the administrator according to generally binding legal regulations or for which you have given us consent to the processing. In other cases, the processing period results from the purpose of the processing or is given by legal regulations in the field of personal data protection.

3.3 Rights of data subjects 

(a) If we process your personal data, you can at any time request free information about the processing of your personal data.

(b) If you believe that we are processing personal data in violation of the protection of your personal data and the legal conditions for the protection of personal data, you can request an explanation, request that we eliminate the situation that has arisen in this way, in particular you can request the blocking of personal data, correction, supplementation or destruction of personal data. You also have the right to contact the Office for Personal Data Protection with your request at any time.

(c) You can withdraw your consent to the processing of personal data at any time. If you withdraw your consent to the processing of personal data, your personal data will be deleted; however, this does not apply to personal data that VZ needs to fulfill legal obligations (e.g. processing an order that has already been placed) or to protect its legitimate interests. Personal data will also be destroyed if the personal data is no longer needed for the purpose pursued by their storage or if the storage of your data is inadmissible for other reasons stipulated by law.
